This guide is designed to support you in your role as an institutional administrator for your AAP Fusion agreement.

It introduces the model and walks you through the administrator dashboard within AAP Publishing's Billing and Production System, or BPS.

Our goal is to help you feel confident navigating the system so you can smoothly support your researchers and maximize the impact of your institution's publishing efforts.

Before we jump into the dashboard, I'd like to start by introducing AIP Fusion, our new agreement with your institution.

Through this partnership, researchers at your institution now have expanded access to AIP Publishing's full publishing ecosystem.

They can read across the entire portfolio of AIP Publishing and partner journals with access to content from 1999 to present.

Once a manuscript is accepted, it will appear in this Pending Approval tab for administrator review.

At this point, you'll receive an e-mail notification and will be prompted to take one of three actions you may approve.

This confirms the manuscript will be published Open Access under your institution's Fusion agreement and no further action is required.

There will be no cost for the author and no charge to the institution.

After selecting Approve, Deny, or Bill Me, click Process at the bottom left of the screen to complete the action.

Otherwise, for institutions fully operating under the Fusion model, this section will generally remain empty as the agreement is designed to eliminate routine payment processing for individual articles.

This section provides visibility into manuscripts that have been published under your agreement.

Because AAP Fusion does not include article caps or APC invoicing, this tab functions primarily as a reporting and tracking tool rather than a billing interface.

From here, administrators can review manuscripts published under the agreement.

View associated journals, authors, and other key details on the Payment History tab.

You can also filter activity by date range and download reports to Excel for internal tracking or institutional reporting.

This makes the Payment History tab the main place to review your institution's publishing activity and generate reports as needed.

Finally, if you need to update your account profile, such as your contact details or address information, you can do this directly within the dashboard.

To access your profile settings, start by clicking My Tasks.
